What we collect through this site, why, and how to control it.

1. Who is responsible for your data

This site is operated by Kivu Origins, the trading name of an operating partnership between Golf Trading (commercial) and Ets Kambale Machozi (production and export), registered at 80, Bd Nyamwisi, Commune Mulekera, Beni, North Kivu, DR Congo.

2. What we collect

Through the sample request wizard: your name, company, business email, country, website, phone number, shipping address, and details of what you are sourcing (product, grade, volume, incoterm, destination port, flavour profile).

Through the contact form: your name, company, business email, country, subject and message.

Through the newsletter signup: your business email address.

We do not knowingly collect data from consumers or from anyone outside a professional buying, sourcing or trade context.

3. Why we collect it and our legal basis

Sample and contact form data is processed to respond to your enquiry and, where a business relationship develops, to prepare and perform a contract — this is necessary for pre-contractual steps and contract performance under GDPR Article 6(1)(b).

Newsletter data is processed on the basis of your consent, given when you subscribe. You can withdraw it at any time by unsubscribing.

4. Who we share it with

Form submissions are delivered through Formspree, a third-party form-processing service, which acts as a data processor on our behalf. We do not sell contact data or share it with third parties for their own marketing purposes.

If we connect a CRM tool to manage buyer enquiries, that tool will also process this data as a processor under the same purpose — this page will be updated to name it before it goes live.

5. International transfers

Because our form processor may store data outside the European Economic Area, transfers rely on that provider's standard contractual clauses or equivalent safeguard. Details of the specific processor and safeguard will be confirmed here once the live form provider is selected.

6. How long we keep it

Enquiry and sample-request data is kept for as long as needed to respond and, if a commercial relationship follows, for the duration of that relationship plus the period required by applicable commercial and tax record-keeping rules.

Newsletter addresses are kept until you unsubscribe.

7. Cookies and tracking

This site does not currently set cookies, run analytics, or use tracking pixels. If that changes — for example if we add privacy-respecting analytics — this section and, if legally required, a cookie notice will be added before the change goes live.

8. Your rights

If you are in the EU/EEA or another jurisdiction with equivalent protection, you have the right to access, correct, delete or restrict the personal data we hold about you, to receive it in a portable format, to object to processing, and to lodge a complaint with your local data protection authority.

To exercise any of these rights, email trading@kivuorigins.com. We aim to respond within one month.

9. Changes to this policy

We will update this page when our data practices change and update the date at the top. Material changes affecting how sample or contact data is used will be flagged clearly rather than published silently.
